College of Saint Elizabeth Campus Web and Content Management Policy

The Web site is an essential source of information and a communication tool for all College audiences: current and prospective students, faculty and staff, parents and friends, alumnae/i, in addition to the immediate and far-reaching community and media. Our Web site defines who we are today and who we will be in the future. The following policy applies to all College of Saint Elizabeth organizations including but not limited to academic departments, administrative offices, and student clubs and organizations.

Web Task Force Committee

As a collaborative group, with representation from each division of the College, the Web Committee will develop and implement the strategic Web vision for the College.

Content Management System (CMS)

The CMS is the system that stores and displays official College of Saint Elizabeth Web content. Management and use of the CMS will comply with all official policies of the College, including but not limited to: discrimination and harassment policies, compliance with all federal, state, and local laws, statutes, and regulations, brand standards, confidentiality of records, positive data security and appropriate use of computing facilities. Any official College information is subject to review by the Office of Communications and Marketing to ensure consistency with issues of legality or with College policies.

Web Content Contributors/Publishers

Each department or office will be responsible for appointing a person(s) who are content contributors/publishers in their select area. Content contributors/publishers are responsible for maintaining department or office Web pages, keeping content up-to-date and following guidelines established by the Web Committee.

Furthermore, content contributors/publishers will establish a process of content review and approval with their respective vice presidents and supervisors before it is published on the live site.

Workflow

In some cases, the originating department, office or organization must secure appropriate approval through the College Web Specialist, who will act as liaison on behalf of the Office of Communications and Marketing and the Web Committee. Those cases include:

  • All pages that fall under the top level navigation of the site.
  • Academic Department homepages (i.e. Academic landing page, Undergraduate Programs landing page, Graduate Programs landing page, and Non-degree Programs landing page).
  • All program pages’ “Overview” sections.

In each department or office Web section certain pieces of data will populate from the College system of record, including:

  • News items
  • Calendar of Events
  • Faculty/Staff listing
  • Course listing (if applicable)

Personal Web Pages

The College of Saint Elizabeth recognizes the value and potential of personal publishing on the Internet and so allows and encourages students, faculty, and staff to develop personal Web pages (i.e. blogs). However the College does not accept any responsibility and shall not be liable for the content of those pages which receive off-campus hosting. For those hosted by the College (i.e. student newspaper), a disclaimer may be required.

Social Networking Sites

Social networking sites such as Facebook, Twitter, and LinkedIn, and others are platforms for interaction and networking. The College will explore new ways to use such social media tools in fulfilling their mission of engaging and sharing knowledge with key target audiences through various survey tests, which will be coordinated through the Office of Communications and Marketing/Web Specialist.

In order to create a strong presence to these sites, the Office of Communications and Marketing/Web Specialist, with guidance and support from the Web Committee, will establish, manage and monitor a single, College account through which all communications about the College (i.e. photos, conversations, news items, etc.) will be posted.

Any and all other accounts that have been created prior will be encouraged to either merge their profiles into the College’s formal account or link this account directly to their profiles.

Inappropriate Web Content

Materials are prohibited on the College of Saint Elizabeth Web site if they:

  • Violate federal, state, or local laws or regulations
  • Violate College policies
  • Are defamatory to any group(s) or individual(s) or are disparaging of any group(s), organization(s), or institution(s)
  • Are abusive, profane or sexually offensive
  • Consist of information that may injure someone else and/or lead to a lawsuit or criminal charges
  • Use the College name and logo without official authorization in ways that imply endorsement of commercial organizations, their products or services
  • Violate the confidentiality of the College or student records

The types of material listed above or any direct link to another page containing such material should not be included in any College of Saint Elizabeth Web page. The College of Saint Elizabeth reserves the right to remove any page or material that is in violation of this or any College of Saint Elizabeth policy.
